The WhatsApp follow-up system that books site visits

In almost every stalled builder account we have opened, the leads were fine. The first reply was six hours late, and the second follow-up never happened.

Short answer

A property enquiry is rarely exclusive, so speed of first reply decides more than message quality. Send an automatic WhatsApp within a minute carrying the project name, price band, location pin and a link to book a visit slot, have a human call within ten minutes, then follow up on day one, day three and day seven. Most site visits come from the second or third contact, not the first.

The first ten minutes decide the lead

When a buyer fills in a form at nine in the evening, they usually fill in three or four. They are not loyal to whoever they enquired with first. They are loyal to whoever answers first, because that is the person who makes the project feel real.

A sales team cannot be on the phone at nine at night, and it does not need to be. The automation buys you the ten minutes it takes a human to get to the phone. It does not replace the call.

What this is built on: on the Jaipur programme we run, this pattern contributed to 19,000+ leads producing 1,600+ scheduled site visits. The single change that moves the number most in a new account is not the ad creative, it is cutting first-response time from hours to under a minute.

The first message, written properly

The automatic reply has one job: make the buyer certain they have reached a real project and give them something to act on. Four things belong in it.

Keep it to four lines. A long message at nine at night gets skimmed and closed.

The cadence that works

WhenWhat goes outPurpose
Within 1 minuteAutomatic WhatsApp: name, price band, pin, booking linkClaim the conversation before a competitor does
Within 10 minutesHuman callQualify budget, timeline and corridor
Day 1Two or three photos or a 30-second walkthroughGive them something to show the family
Day 3Specific answer to whatever they asked on the callProve you listened
Day 7Visit slot offer with two concrete optionsMost visits are booked here, not on day zero
Monthly after thatConstruction progress from the same angleConverts the buyer who said "I will decide after seeing progress"

Two or three contacts is where most site visits come from. Teams that stop after the first call lose the majority of their pipeline and then conclude the leads were bad.

Where automation has to stop

Automate the acknowledgement, the reminders and the progress updates. Do not automate the qualification conversation, the price negotiation or anything that requires reading the buyer. A template that answers a specific question with a generic paragraph is worse than a slow human reply, because the buyer now knows they are talking to a machine about the largest purchase of their life.

The practical rule we use: automation may send information, a human must send judgement. How the CRM and WhatsApp layer fit together.

Keep the list usable

Stay inside the rules

Business messaging on WhatsApp needs opt-in, and template messages sent outside an active conversation window need approval before they go out. Build the opt-in into the lead form rather than collecting numbers and hoping. For property specifically, keep the RERA registration line on anything promotional you send, the same as any other advertisement.

This system is part of how we run lead generation, and it is usually the piece that changes the numbers fastest, ahead of any change to the ads.

FAQ

Questions builders ask

How fast should a builder reply to a property enquiry?

Within a minute automatically, and within ten minutes by a human. A buyer usually enquires with three or four projects the same evening, so the first real reply sets the agenda. This is the change that moves site visit numbers fastest in a new account.

What should the first WhatsApp message to a property lead say?

Four lines: the project name and the salesperson name, the price band, a location pin, and one clear next step such as a link to book a visit slot. Avoid a generic thank-you message and avoid hiding the price.

How many times should you follow up on a real estate lead?

At least through day one, day three and day seven, then monthly with construction progress. Most site visits come from the second or third contact rather than the first, so teams that stop after one call lose most of their pipeline.

Should real estate follow-up be fully automated?

No. Automate the instant acknowledgement, reminders and progress updates. Keep qualification, negotiation and anything requiring judgement human. A generic automated answer to a specific question does more damage than a slightly slower human reply.

Do I need permission to message property leads on WhatsApp?

Yes. Business messaging needs opt-in, and templates sent outside an active conversation window need approval first. Build the opt-in into the enquiry form, and keep the RERA registration line on anything promotional.
